Visa Information
Participants are responsible for checking whether they need a visa or other travel authorisation to enter Germany. Visa requirements depend on nationality, country of residence, travel route, and length of stay.
We strongly recommend checking the official information provided by the German Federal Foreign Office and the German mission responsible for your place of residence well in advance of your trip.
Do I Need a Visa?
Please check the official visa requirements for entering Germany before making travel arrangements. The German Federal Foreign Office provides an overview of visa requirements and exemptions for entry into Germany.
Participants who are unsure whether they require a visa should contact the German embassy or consulate responsible for their place of residence.
Schengen Visa for Short Stays
For short stays in Germany and the Schengen Area, participants may require a Schengen visa. A Schengen visa generally covers short stays of up to 90 days within any 180-day period.
Please note that the conference organizers cannot decide whether a visa is required or whether a visa application will be approved.
Invitation Letters
The conference organizers can provide invitation letters for registered participants who require documentation for a visa application.
Invitation letters can only be issued after successful registration.
To request an invitation letter, please contact the organizing team and provide the following information:
Full name as stated in passport
Affiliation / institution
Postal address
Passport number, if required
Date of birth, if required
Conference registration confirmation
Title of accepted contribution, if applicable
Please note that an invitation letter does not guarantee that a visa will be issued. The final decision rests with the responsible German embassy or consulate.
When to Apply
Visa processing times may vary depending on the country of application, season, and individual circumstances. Participants who require a visa are advised to start the application process as early as possible.
Please also allow enough time to obtain an appointment at the responsible German embassy or consulate.
Participants who do not require a visa may still need to meet other entry requirements. Depending on the date of travel and nationality, visa-free travellers may need an ETIAS travel authorisation for short stays in Europe.
